Murphy Deming College of Health Sciences (MDCHS), Mary Baldwin University, located in Fishersville, VA is seeking to fill an administrative assistant position as the Academic Affairs and Program Assistant. This is a ful time, benefits eligible position working closely with the Senior Associate Dean and Program Directors at MDCHS.
Summary of Position:
This position responsibilities include the following areas that ensure academic operations for MDCHS align with Mary Baldwin University priorities, as well as providing program support for the Occupational Therapy Program:
COURSE OFFERINGS LIST – Assists Program Directors/Coordinators to create and maintain the Course Offerings Schedule for graduate/professional and undergraduate programs including, revising terms, sub terms, course prefixes, course numbers, course sections, course titles, credit hours, instructors, course cross-listing, enrollment caps, grading type, general education designations for all MDCHS programs verifying Education Policy Council approved decisions throughout the process. Coordinates in-seat and hybrid course meeting dates, times, and locations, as well as course access and needs for faculty and students with Information Technology and the Center for Teaching and Learning within the University’s Learning Management System. The position also communicates any course fees to be listed on the Course Offerings List to the Registrar.
ACADEMIC AFFAIRS RESPONSIBILITIES – Coordinates agendas, serves as recording secretary for various academic meetings, coordinates batch registrations, exam and testing schedules, booklists, and other advising processes for students. This position coordinates testing, room assignments, and is the lead for the coordination of the academic calendar and revisions of the academic catalog. Other responsibilities include administration of the online policy repository, working with faculty and the Registrar on grade changes, incompletes, and academic reporting using Jenzabar, student probation and dismissal letters, and student eligibility for graduation. The position also manages On-Base documentation for multiple programs at MDCHS.
RECEPTION and OPERATIONS – Secondary staff support for answering the phone and door, greeting and escorting visitors to the appropriate building location, and distributing mail and packages to appropriate personnel, as well as serving as secondary staff support for all MDCHS building events (set-ups, staffing, and reset of tables, chairs, etc.)
OCCUPATIONAL THERAPY PROGRAM SUPPORT – Assists the OT program director with projects, taking minutes at meetings, accreditation process tasks, travel request processes, and other support duties as needed.
- Bachelor’s degree or any combination of education and experience that demonstrates the knowledge and skills needed to fulfill the position responsibilities
- Professional presence with excellent interpersonal communication and written skills
- 3-5 years of experience in higher education environment, academics preferred
- Strong attention to detail and accuracy
- Strong organizational skills
- Ability to prioritize and manage multiple tasks
- Experience with database/Student Information System (SIS) tools
- Intermediate Experience with Excel and other Microsoft Office Suite applications
- Experience with Google Drive
- Previous experience in customer service
- Knowledge of Family Educational Rights and Privacy Act (FERPA) for student educational records
- Knowledge of general financial aid academic progress criteria & registration hold policies
