Summary of Description

The Student Services and Records Coordinator is responsible for a key set of processes, functions and providing registration and records services for the Office of the University Registrar. This position has daily contact with students and works closely with faculty and staff. The Records Coordinator works closely with the university registrar and other members of the department in promoting the core values of the University and enhancing the overall educational experience through supporting the Office of the University Registrar mission.

Responsibilities

Maintenance of student records to include but not limited to:

  • Maintenance of all electronic academic records for all students in all programs at the University
  • Maintenance of all biographical data changes to student records
  • Registration functions including registration, withdrawals, and grading option changes
  • Assist faculty with online grade submission; process all grade changes
  • Assist with the posting of all transfer work, including AP, IB, CLEP, etc., for all students in all programs
  • Primary responsibility for inbound general office communication
  • Assist with maintaining transfer catalogs in J-1 and MBU’s Transfer Equivalency Matrix
  • Assist with other large project functions of the office (i.e. final exams, graduation audits, COL)

These responsibilities are not exhaustive and additional duties can be assigned as needed.

Because this position deals with sensitive student information, it requires not only attention to detail and to academic policies and procedures, but also integrity and respect for the confidentiality codes of the office, the University, and outside agencies including the federal government.

Qualifications

  • Bachelor’s degree preferred; extensive experience may be considered
  • Strong interpersonal skills; ability to communicate effectively (written and verbal)
  • Demonstrated diligence and attention to detail
  • Strong technical skills and ability to use contemporary technology effectively
  • Experience and proficiency with Microsoft Office Suite
  • Efficiency in job task completion
  • Ability to take initiative and work independently, effectively and collegially with faculty, students, staff and administrators
  • Ability to work outside normal office hours as needed

Compensation

The Student Services and Records Coordinator is a full-time, benefits eligible, salaried staff position.
