The Administrative Assistant reports to the Chief Health Officer and the Director of Counseling and Psychological Services.
Description of Primary Duties:
- Greeting patients visiting the facility, answering any questions they may have and helping them fill out any required forms
- Answer phone calls, voicemail, emails, and transfer in-bound phone calls
- Create appointments and register patients upon arrival
- Maintain calendars for all staff
- Informing healthcare providers about impending appointments
- Set up and maintenance of medical and counseling files
- Organize and manage information on student health forms
- Maintain budget (track spending, receipts, and record keeping on Excel)
- Hire, manage, and supervise student assistants
- Distribute office mail
- Order office supplies
- Communicate with physical plant, facilities and housekeeping for maintenance needs
- Communicate with our Augusta Health partners as needed
- Take payments for in-house testing, submit receipts, maintain cash drawer
Minimum Acceptable Qualifications:
Education:
Individuals need a minimum of a high school diploma or GED. Prefer candidate who has earned an associate degree or completed a medical assisting program.
Experience:
Previous experience as an Office or Medical Assistant is highly preferred.
Skills:
- Proficient computer skills to include Excel, Power point, brochures, and knowledge of relevant software to create and edit documents, Adobe PDF, Word, Google calendar and spreadsheets
- Excellent time management skills and organizational skills
- Excellent verbal and written communication skill
- Familiarity with medical terminology and technology
- Basic accounting and math skills
- Attention to detail and problem-solving skills
- Understanding of the Health Insurance Portability and Accountability Act (HIPAA)
- Ability to properly handle confidential information
- Ability to work collaboratively with faculty, staff, students, and administrators
- Ability to set priorities and effectively meet deadlines
Other:
The candidate must be detail oriented and organized. Must work efficiently as a team member, be supportive and flexible with assisting staff and students. The candidate must present a friendly, helpful attitude with the ability to communicate clearly both verbally and in writing.
