Murphy Deming College of Health Sciences (MDCHS), Mary Baldwin University, located in Fishersville, VA is seeking an Operations Manager. This is a full time, benefits eligible position.

Summary of Position:

The Operations Manager will provide oversight of day-to-day operations of Murphy Deming College of Health Sciences including office management, administrative support staff, the S2 Security System, and security services. The Operations Manager will also provide administrative support for the Vice President/Dean of Health Sciences including maintenance of their calendar. This individual will also manage budgets across the college and monitor budget line to ensure targets are being met. The Operations Manager provides several support roles for Human Resources including onboarding of faculty and staff. The Operations Manager will promote a culture of “Service Excellence” in administration and operations and set a tone of leadership that is student-oriented and collaborative. This individual should facilitate an environment that fosters innovation and continuous improvement.

General Management:

  • Manage all day-to-day operations
  • Work collaboratively to manage the logistics of internal and external events held at MDCHS.
  • Monitor management of office records and store archived files according to requirements
  • Develop solutions to improve current business processes and create efficiencies
  • Attend all meetings that involve all responsibilities described. The Operations Manager is a member of any committee whose function affects these responsibilities.
  • Take minutes and manage agendas and supporting materials for Faculty and Leadership meetings and record approved minutes according to requirements.
  • Support Program Directors in all lines of effort.
  • Support faculty and staff, provide solutions, manage administrative resources to provide assistance.

 

Human Resource Management:

  • Ensure compliance with all MBU/MDCHS human resources requirements from onboarding to separation.
  • Manage onboarding and offboarding process for faculty and staff.
  • Conduct orientation program and training for new support staff.
  • Create and maintain faculty and staff personnel records according to MBU/MDCHS and accreditation standards.
  • Prepare and process faculty contracts; monitor faculty contracts and advise Dean of needed renewals.
  • Assist the Dean with administrative support staff performance evaluations.
  • Ensure workload of administrative support staff is equitably assigned and reassign work when necessary; may determine work priorities.
  • Prepare for Dean’s approval leave requests and electronic timecards for support staff.
  • Post open positions on various job search platforms. Manage applicants, search committee and search committee candidate selection, campus visits, communications, and documentation.
  • Conduct Interviews and chair/serve on Search Committees as needed
  • Prepare and submit monthly payroll reports for faculty. Manage staff timecards and timecard approvals.

 

Fiscal Administration:

  • Audit processed expenses for accuracy in GL account coding
  • Assist with annual budget preparation.
  • Oversee inventory records, including facilitation of regular updates.
  • Manage operations, institutional, student, director, and dean accounts and submit invoices, reimbursements, travel expenses, and check requests.
  • Manage annual purchasing, grant purchases and reporting.

 

Building Operations and Physical Plant:

  • Conducts regular reviews of operations and physical plant policies for MDCHS, in consultation with the appropriate college leadership, to take needed action.
  • Along with MDCHS Physical Plant staff, monitor conditions of the building and grounds, track projects and report progress to Dean.
  • Oversee the assignment of offices/workspaces.
  • Oversee facility projects and housekeeping.
  • Monitor physical appearance and cleanliness of facilities and communicate needs to housekeeping staff.
  • Manage events, scheduling and facility use. Work with the President’s office to coordinate high profile campus events such as alumni events and Board of Trustee meetings.
  • Manage Commencement week activities and Commencement Reception.

 

Security and Safety Services:

  • Conducts regular reviews of security and safety services policies for MDCHS, in consultation with the appropriate college leadership, to take needed action.
  • Administrate the S2 Security System for MDCHS
  • Determine lock/unlock times for external doors
  • Monitor Lost and Found policy to ensure compliance with main campus security policies
  • Create ID badges and monitor activation and deactivation of access
  • Ensure compliance with occupant maximums for internal spaces
  • Communicate with security office regarding security officer schedules during breaks and events
  • Schedule inspections, fire and safety drills, maintain emergency plans, coordinate with main campus, safety, and Augusta County Sheriff’s Office for campus safety protocols and access.
  • Manage parking permits and automobile registration, emergency notification forms, key assignments.

  • Management skills sufficient to effectively direct support staff as appropriate
  • Ability to use considerable judgment, initiative, and independence
  • Willingness to be hands-on, very customer and service oriented, flexible, with natural leadership
  • Effective problem-solving skills; ability to identify and analyze issues and problems and to recommend and implement solutions
  • Excellent interpersonal and relationship building skills with a high degree of professionalism and competence
  • Ability to maintain utmost confidentiality regarding all matters
  • Ability to develop, organize, and accomplish goals
  • Flexibility and ability to work on multiple projects and able to perform the essential duties of the position with time constraints, and interruptions
  • Exceptional written and verbal communication and presentation skills

Education and Experience:

  • Required: Bachelor’s degree
  • Experience that illustrates the knowledge and skills needed to fulfill position responsibilities
  • Proficient with MS Office (Word, Excel, and PowerPoint) and database management tools
