Job Duties:  The student assistant will serve a vital support role for the Office of Alumni Engagement.  The primary areas of responsibility will include: event management support (pre-event logistics, RSVP and list management, on-site event support, when available, and post-event analysis); customer service support (answering phones, assisting alumni with inquiries, answering emails from the general alumni email account, and assisting visitors to the office); clerical/administrative support (alumni information lookups and updates/data entry, creating/managing lists, mail merge for name tags/letters, research, thank you notes or general correspondence, etc.); and, creating marketing support (graphic design, social media content creation, assisting with email building, etc.).

The Events Assistant is expected to:

  • Be punctual when arriving to work/event shifts
  • Communicate progress related to projects and assignments with staff, and seek out additional work when needed
  • Double-check their work for accuracy and attention to detail
  • Meet deadlines, as provided
  • Participate in staff meetings and/or events and programs, when necessary and they are able to
  • Provide support the Office of Alumni Engagement and Advancement staff for programs, events, stewardship and communications outreach
  • Contribute to the team’s success by providing input and feedback on projects and assignments
  • Maintain a positive attitude in a fast-paced, deadline-driven environment
  • Maintain and support positive relationships within the office, university, and MBU alumni community
  • Represent the university and its mission with positive enthusiasm and professionalism

Special skills or knowledge you need:

  • Strong interpersonal, verbal (including phone work), and written communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Advanced computer skills – sufficient experience with Microsoft Office programs, especially Excel
  • Ability to represent the Office of Alumni Engagement and the University in a positive and professional manner
  • Interest in higher education, nonprofit management, communications, event planning, hospitality management, or volunteer management industries is preferred but not required

Skills you will develop:

A position in the Office of Alumni Engagement will provide the opportunity to strengthen critical customer service and soft skills, such as punctuality, professionalism email and correspondence etiquette, timeline and project management, workplace etiquette and teamwork. The events assistant will also learn how to establish and maintain effective working relationships within a diverse environment of alumni, volunteers, students, faculty, staff, and the general community.  The events assistant will also receive in-depth knowledge of event planning and communications management and practices, along with the ability to assist or oversee certain projects. The events assistant will additionally receive training in volunteer management and stewardship best practices. This position is ideal for students wishing to learn more about nonprofit management, fundraising and engagement opportunities.

Hours:  10 hours a week between office hours of M-F, 9am-4pm; some nights and weekend events/programs, as available
